Meeting Minutes for Tuesday, October 22, 2002

Meeting is called to order and welcome visitors.

Motion to approve September minutes with corrections and revisions is passed.

We received correspondence in the form of a letter from Marianne Fry apologizing for not being able to volunteer. She sent a donation for $25.

Treasurer’s report shows an end of September balance of $5,383.82. This includes the expenditure of sponsoring lunch for the Trail Committee meeting. Lee reports we received $36.25 in donations and $20 for T-shirts at the past events.

Logo Contest Update – no entries were received. They were sent to all 94 Macomb County High Schools. Discussion on whether or not to use Friends group logo, consensus was no, we are two separate groups and want to be recognized as such. General thoughts were to use a side ways oval with an apple tree, and a biker/hiker. Use 4 colors on the Website and 2 when printing. Tracy M., a secretary to Anthony Casasanta, will submit drawings at next meeting.

Richmond Request – was tabled

Other Business –

Video people have shot enough footage to produce the 10-minute video. They also got some aerial shots via helicopter. A "first edit" script might be presented next month.

Master Plan – A preliminary plan and the Armada Grain land swap should be presented in November with Master Plan findings in December. Anderson, Eckstein, and Westrick, Inc are developing the Master Plan.

Permission was needed for Peter or Chair, Vice Chair, Secretary to sign an agreement that the Trail will be maintained and insured. MDOT needs this assurance from the Road Commission who needs it from the Trail Counsel. Greenways also want a copy of the letter to put in their file.

Fiber Optics – runs full length on the north side of the trail. This will noted on the survey and may present a problem with insurance. We might not have the latitude we wanted in regards to land swaps and easements.

Service drives may be an answer to multiple crossings if landowners can agree.

Clinton River Trail Group has been in contact with a company in Quebec on a machine used to crush existing ballast. Stones are large and still require a binder. Cost is $13/ton. Will keep in touch with Clinton River Group.

Construction should begin next year. Dakota High School is doing a clean up in Shelby now.

New Armada Park property bisects the trail – a survey was presented to the council providing their information buy Gail Barr

Public Participation – Master Plan review at Freedom Hill 9 a.m. October 23, 2002.

Applefest – numbers were down and organized a little differently. A big thanks goes to Lee Tait for closing up and keeping the equipment at his home.

Letter of Intent – no feedback yet

o One question posed is about who will be supervising the high school students or other charitable organizations working on the trail.

o Dave needs input of what services we are planning to offer.

Romeo/Washington City Council declined to participate in Trail Commission. We want to get them involved. Shelby Foundation should by able to help out in the Shelby and Sterling Heights area. Linda Stout is a possible contact.

Fundraising committee meeting is October 30.

Gary Kirsch and Robert Schram have been discussing the Washington Elevator’s role in regards to the trail.

Lee will give shirts to the trail commissioners.

Chuck Mabley reports we need to send in financial information to determine our non-profit affiliation by 90 days after December 3. If we make $25,000+ then we need to file a tax return federally. The state requires a business license if over $8,000.

The nominating committee will consist of Dennis Tipsword (bd. Member), Mike Sproul, and Neil Kocsis. They need to find nominees to replace Christine Hamilton, Chuck Mabley, Rich Platz and Dave Rumohr. The quest for "new blood" nominations will close at the November meeting.

Chuck Mabley will put the yearly budget together to be audited during January meeting.

Thank you's need to be sent to HCMA members Dan Duncan, Jim Bresciami, and Don Potter for use of the building.

We need to revisit by-laws for clarification on officer term limits, possibly amending them.

It is unanimously decided to renew the use of the Camp Rotary building for our meetings.

Dennis Tipsword, who is on the Ray Twp. Planning Commission/Parks and Recreation Committee, put together information on how they will tie to MOT working to connect Stoney Creek to trail. Plans are being made for bike/hike trails on area roads. (Good news!)

Chuck Mabley has double-checked on our assets.

Ted Gondert shot video footage of the Romeo City Council meeting for us to view.

Meeting adjourned.

Next official meeting is Tuesday, January 28, 2003 at Camp Rotary.
